Flex Delivery Instructions for Mac Users How to set up Flexible Delivery Hardware? Flex Delivery Instructions - Mac Before Class Setting Up Teams or Zoom - Have you scheduled the session through either Teams or Zoom (most likely recurring)? Have you configured your Zoom meeting settings (if you are using Zoom)? Setting Up DC Connect - Is your course in DC Connect ready? Has a notice regarding the synchronous session been posted in an obvious place? Have reminders regarding these sessions been sent to students? Is there a specific place where students can post questions asynchronously prior to class? Testing Your Synchronous Link – Have you tested your link in DC Connect to ensure that it works (solicit a colleague to help with this). Setting Up the Lesson – Have you prepared your lesson considering both online students and F2F students? Have you thought through the flow of the lesson and made notes as to where and when pauses need to be developed to manage the technical equipment and ensure you build a single learning community? Do you have contingencies based on variable attendance? Verifying Computer Connections - Ensure that you have a USB or USB C port on your laptop Install the display driver – follow the instructions below Identify your operating system. For MAC Users – (1) Click on the Apple in the top right of the desktop, (2) select “About this Mac”, and (3) note the Operating System version (you will need this later on) Download the Display drive for the flex delivery equipment Navigate to the following website: https://www.startech.com/en-ca/support/drivers-and-downloads Enter the following product ID and click search afterwards: DK30A2DH Choose the correct driver for your system The zipped folder will download. Go to your downloads folder and select the version of the Mac that matches your operating system Once you have selected the correct Operating System and opened the folder, select the DisplayLink Manager Graphics Connectivity 1.4.pkg to install the driver As the driver is installing click continue. As the installation ends, you will be prompted to put in your password to complete the installation Once the installation is successful, you will be asked if you would like the installation files to be moved to the trash. Select move to trash. Reboot/Restart your computer Once your computer has restarted, select the (1) Apple menu and choose (2) system preferences. Navigate to (3) Security and Privacy option Find the (1) DisplayLink Manager. app within the Privacy tab (under the screen recording option) and (2) unlock this application – you will need to input your password once again to enable this unlock (only some Mac operating systems require this step) In the Classroom Arrive to class with time to set up your system (and seek assistance if it is needed) Turn on the equipment – using the keypad or touchpad. For the touchpad select HDMI and then send to display. This will awaken the crestron as well as the logitech rally system for flex delivery. Log onto your laptop and connect your laptop to the USB or USB-C – wait 2 minutes for the system to recognize your computer Configure your display settings - follow the instructions below Click on the (1) Apple Menu and select (2) system preferences. Navigate to (3) Displays (1) Select arrangement. (2) Ensure Mirror display is not selected. Identify which screen each rectangle represents by clicking on each rectangle – a red square will appear on the corresponding screen. Note which rectangles represent the laptop and which represents the Logitech screen. (3) Drag the laptop screen on to the Logitech screen by pressing and holding the Option key and drag and dropping one on top of the other. This will mean those screens are mirrored. Open your synchronous platform. For those choosing to use Teams as their synchronous platform, follow the steps below: Select the settings by navigating to the more options at the top right-hand corner of your Teams application. Select the Settings option Select Devices Choose the “Logi Rally Audio” for Audio Settings, “Echo Cancelling Speakerphone” for Speaker and Microphone, and “Logi Rally Camera” for Camera setting For those choosing to use Zoom as their synchronous platform, follow the steps below: Once you begin your meeting in the Audio icon on the tool bar locate the Echo Cancelling speaker and microphone. In the Video icon on the tool bar locate and select the Logi Rally Camera During Class Start your meeting on your chosen synchronous platform. Drag your Teams or Zoom application to the desired screen. We recommend keeping it on the laptop which will place it on the Logitech Rally screen at the back of the room. This will allow you to see your virtual students as you teach. We recommend you shut off notifications for email and other applications so that private messages are not displayed as you teach. Do not use PowerPoint Presenter view as this may not be compatible with the displays as they are arranged. Once PowerPoint is open, select (1) PowerPoint at the top of the screen and choose preferences. (2) In the Output and Sharing pane, click Slide Show. (3) Uncheck Always Start Presenter View with 2 Displays. Use the Logitech Remote to zoom in, move the camera, etc Prior to Leaving the Classroom Leave the synchronous meeting Unplug the USB or USB- C cable from your laptop Turn off the Logitech Rally TV Screen with the remote. If there is no remote, don’t worry the equipment will go to ‘sleep’ when the entire system shuts down. Turn off the projector screen or TV screen at the front of the room with the keypad or touch pad. Note, the monitor goes into standby mode if not powered off, and that’s OK. After Class Sharing your Class Recording – To ensure those who were unable to attend class have access to the class recording please share the captioned class recording on DC Connect (if you are using Zoom) and in the MS Team (if you are using Teams). NOTE: You may need to upload your recording to a video streaming service such as YouTube (unlisted or private) to ensure that auto-generated captions are created. See the CTL Captioning page for further information. Student Reminders – post any reminders and “To Dos” for students following the lesson. Also remind students about any policies and offices hours (particularly at the beginning of the semester) Provide Feedback to Students – Review any formative assessments gathered through the lesson. Respond to student questions, provide feedback for specific performances, and plan for the next lesson with this data in mind. Gather feedback from Students – Ask students to assess what worked well and what did not work well during the Flex delivery.
