Intl Withdrawals and Refunds
Durham College's international student withdrawal/refund policy complies with the Ministry of Colleges, and Universities (MCU) fee and refund policy and Immigration, Refugees and Citizenship Canada (IRCC) guidelines.
If for any reason you wish to withdraw, you must officially notify the college by completing and submitting the International Withdrawal request form.
In order to be eligible for a refund, students must submit the online form by 11:59 p.m. (EST) on Day 10 of the semester. Forms submitted after this deadline date will not be eligible for a refund of their current semester fees.
New Students
Students who are withdrawing due to a Visa Refusal letter, or who's programs are waitlisted, are subject to an administration fee of $200.00, which will be deducted from their refund.
Semester 1 students who have accepted their offer and are choosing to withdraw from Durham College for any other reason including; transferring to another college (excluding consortium schools) changing their mind about studying, health reasons, family responsibilities, or financial reasons, will be considered a Voluntary Withdrawal and will be subject to an approximate $2,700.00 deduction.
*Students transferring to consortium schools are not eligible for a refund of the first semester fees. You can find a list of consortium schools here under "Refunds and Withdrawals" - "Transfer to Another Institution" section.
Returning Students
Students who are withdrawing for any reason, but have completed at least one semester of their program are subject to a deduction of $250.00.
If the reason you need a refund isn’t shown, then please contact the international office with a detailed message as to why you need your fees to be refunded.
Fee's will be refunded via one of the following methods, depending on how the fees were originally paid; Flywire, CIBC, Wire or Direct Deposit.
As an international student in Canada, to remain compliant with study permit conditions, you must actively pursue studies and make reasonable progress towards completing your program.
In certain situations, you may need to take a break from your studies. In order to continue meeting the conditions of your study permit and meeting your eligibility for a Post-Graduation Work Permit (PGWP), you may take an Authorized Leave.
You should plan to request an Authorized Leave in advance and an Authorized Leave cannot be backdated.
Please note: Students are not permitted to work on or off campus during an authorized leave from their study program, even if their study permit says they are allowed to work in Canada.
An Authorized Leave is a temporary break from your studies that is formally approved by the Designated Learning Institution (DLI). It allows international students to remain compliant with their study permit conditions while taking a leave of up to a maximum of 150 days from their studies and still be considered to be actively pursuing studies.
Authorized Leave may be granted under specific circumstances, such as:
· Military service
· Pregnancy or parental leave
· Medical illness or injury
· Family emergency (e.g. death or serious illness of a family member)
Please note: Students should keep all documentation regarding their request and approval for a leave from studies for their own records and for future applications with IRCC (e.g. study permit extension, PGWP).
1. To request an Authorized Leave, contact your Academic Student Advisor to learn about how this may impact your program completion and get an academic plan.
2. Book a meeting with an International Student Advisor (ISA). Meet with the ISA to learn about the immigration implications associated with this leave.
3. In the follow-up email you will receive after the meeting with the ISA, you will find the Authorized Leave Request Form. Complete and submit the form as required.
4. Once your submission is reviewed and a decision is made, you will receive an Authorized Leave Approval Letter if your request is approved, or, if it’s not approved, you will be emailed this decision.
5. When preparing your return to your studies, connect with your Academic Student Advisor to complete the return paperwork. After it is processed, reach out to the ISA team for support in your study permit extension, if needed.
