Please read the information on this page if you are planning on registering for a field placement within your program. When you are ready to apply for a placement, please follow the "7 Steps Toward Placement" below for detailed instructions on how to proceed. May 11 – August 17, 2021 *Students will not begin placement hours before May 11, 2021. September 14 – December 21, 2021 *Students will not begin placement hours before September 14, 2021. 7 STEPS TOWARD PLACEMENT Step 1 - Paperwork Module Activation Fall 2021 activation requests will be accepted starting July 5, 2021. All students wishing to apply for a PPL field placement, must request activation before the paperwork modules close, and submit any required documentation by the posted deadline. (see the table above for dates) Please complete the following steps below in order to request activation for DC Connect: Email email@example.com and provide the following information: First & Last Name Student ID Number Program Name Placement level (if applicable) eg: Level 1, 2 or 3 *NEW* - Students must include the placement format - Remote, In Person, Blended OR Online Class (for those programs offering this option eg: ECE) in this email. READ the notes below carefully: NOTES: Spring 2021 activation requests will be accepted from July 5 to August 16, 2021 ONLY. This process is for PPL students only. If you are not a PPL student, you must contact your school office for field placement details and instructions. Activation requests received after 2pm will be processed the next business day. It may take up to 2 business days to gain access to the modules in some cases. Students are required to check DC Connect daily for the addition of the Paperwork module (a separate email from the PPL department will not be sent). Please submit your activation request only once. Students will be required to upload their program's field placement documentation to DC Connect only. Students will NOT be required to upload documentation to Synergy Gateway during COVID-19. Students are required to monitor their dcmail.ca email account during the application process and throughout placement, as placement correspondence will only be sent to the student's dcmail.ca address. Personal email addresses will not be used. Please Note: IN PERSON & BLENDED format placements will require health forms, Standard First Aid w/CPR-C and a Criminal Reference Check with Vulnerable Sector Screen (CRC w/VSS) in addition to the other required paperwork found in the pre-placement paperwork module. REMOTE placements do not require health forms or Standard First Aid w/CPR-C. Placement courses that are held online only during COVID-19 (no in-agency or remote hours) do not require paperwork, however, students are required to request activation as per the instructions above in order for a prerequisite audit to be completed. This is to confirm the student's eligibility for the course. Step 2 - Placement Eligibility PLACEMENT ELIGIBILITY Students must complete ALL prerequisite courses prior to applying for field placement. Note: Some of the Business programs, All Health programs and ECE Field Placement #3 require that ALL courses in the program must be completed prior to registering for the final placement component. Students must also have a minimum Grade Point Average (GPA) of 2.0 or higher in order to be eligible for placement. Students must meet all paperwork and registration deadlines. Step 3 - Uploading Paperwork Students are required to upload placement paperwork to DC Connect only during COVID-19. (Note: Alternative/Online delivery courses do not require placement documentation. These courses do not include in-agency hours.) Once you have access to the DC Connect Pre-Placement Paperwork Module, please read and follow all of the instructions outlined in the platform. Upload the required documentation to the platform as instructed. Students must regularly check DC Connect to ensure documentation has been accepted and approved. Failure to submit all complete, required documentation by the deadline will result in not being eligible for placement for the current term. DC CONNECT You will be advised if any missing or additional information is required in the feedback section for that submission folder in DC Connect. Once you have uploaded your application, you must continue to check DC Connect until a grade for that submission has been assigned. Failure to check feedback could result in missed paperwork deadlines if any corrections are required. PLEASE NOTE: Any correspondence regarding paperwork/placement status, including clearance email, from both PPL and Synergy Gateway will be sent to your DCMAIL email account. Please ensure you are checking this account regularly. Step 4 - Paperwork Review & Approval For documents uploaded to DC Connect, the PPL Placement Officer will review and grade submissions during the time the module is available, as noted on the website. Once ALL paperwork has been reviewed and approved, each student will receive an email to his/her dcmail.ca email address with permission to register for their field placement course. Step 5 - Permission to Register for Field Placement Students in the following programs will receive permission to register (via email to their dcmail.ca email address) only when all of their documentation has been reviewed and approved by PPL. Early Childhood Education Field Placements Early Childhood Education Resource Consulting Field Placements Educational Support Field Placements Justice & Emergency Services Placements Library Technician Field Placements Nursing Field Placements Retirement Communities Field Placement Social Service Worker Field Placements BUSINESS FIELD PLACEMENTS Students may register for the field placements in Business programs online at any time before the deadline noted on the PPL Field Placement website. Students are responsible for meeting the registration and paperwork deadlines. Failing to do so will result in forfeiting placement for the current term. Business students do not need to wait for paperwork to be approved before you register for your course. It is important that students register by the posted deadline. Step 6 - Agency Approval and Confirmation Once the student has been granted permission to register for their placement, the PPL Placement Officer will contact each student's placement agency host to secure the student's placement. Your patience is appreciated during this time, as this process is lengthy and many students from all programs are being placed at the same time. Step 7 - Field Placement Clearance Once the student's host agency has been secured and/or approved, the student will receive an official clearance email sent to their dcmail.ca email address ONLY. Please note: The approval of documents uploaded does not give you permission to begin your placement hours. You are not to begin any placement hours until you have been officially cleared by the PPL Placement Officer. Any hours completed prior to clearance will not be counted and must be made up prior to the course end date. Clearance will only be sent to the student's dcmail.ca email account - personal email addresses will not be used. FIELD PLACEMENT INFORMATION COVID-19 Restrictions Please note: During the COVID-19 pandemic, access to services may not be possible due to service closures and extended waiting periods. REQUIRED PAPERWORK FOR PLACEMENT You can view your program’s FAQ page for a list of required paperwork. NOTE: The Entry Immunization form (EIF) is required for ALL program field placements where the student is attending in person. The Criminal Reference Check (CRC) is required for ALL program field placements. Business placements do not require an EIF unless attending placement in an agency where the student is in contact with vulnerable persons, or where the agency requests it. ENTRY IMMUNIZATION FORM *NOTE: The Entry Immunization form is required for IN PERSON or BLENDED placements only. If you are doing a VIRTUAL placement, you do not require the EIF. However, if you opt for an In-Person placement AFTER you have been approved for a virtual placement, you will not be able to upload the EIF after the posted deadline. The completion of the Entry Immunization form (EIF) ensures that you have taken the necessary precautions to avoid contracting or spreading disease or illness. These forms can take a significant amount of time to complete so it is strongly advised that you make an appointment with your family doctor or the Durham College Health Centre (on campus) to get these forms filled out as soon as possible. You MUST have an approved EIF before you can attend placement, and it must remain valid for the duration of your placement. Print the Entry Immunization Form and bring it with you to your doctor’s appointment. The doctor will need to fill out the forms completely. Please note: The Health Care Provider information page included in the form explains each immunization that is required. Please bring this with you to your doctor’s appointment. If you have completed this form in the recent past, you may be able to use the same form providing all of the immunizations are still up to date. If you do not have a family doctor, you can make an appointment with the Campus Health Centre. Campus Recreation and Wellness Centre – Room G1030 T: 905.721.3037 F: 905.721.3133 E: firstname.lastname@example.org Hours of Operation Mon. to Fri. 9 a.m. to 5 p.m. CRIMINAL REFERENCE CHECKS (WITH VSS) You must have a current Criminal Record Check with Vulnerable Sector Screening submitted by the due date in order to attend placement. You will be required to keep an original CRC to show your agency host. The Criminal Reference Check must be valid within 6 months of your placement, and remain valid for the duration of your placement. (Note: Depending on where you are placed, your placement host may require a CRC newer than Durham College’s requirement. – example: Regional Daycare centres often require the CRC is no more than 1 month old). Winter Placements – If your placement begins in January, the CRC cannot be issued prior to August of the previous year. Spring Placements – If your placement begins in May, the CRC cannot be issued prior to December of the previous year. Fall Placements – If your placement begins in September, the CRC cannot be issued prior to April of the same year. CRIMINAL REFERENCE CHECK REQUESTS Durham Region & Outside Durham (except Toronto Police Services) To request a Criminal Record Check and/or a Vulnerable Sector Screen a student may be required to provide a letter from the College on letterhead, with a staff signature stating the reason the check(s) are required. GENERAL FIELD PLACEMENT FAQs - ALL PROGRAMS - Read First These General Field Placement Frequently Asked Questions are relevant to ALL placements, regardless of the program you are taking. Once you have reviewed the General FAQs, please then view the Program Specific FAQs below, which will have more detailed information about your program's placement course requirements/restrictions. NOTE: The Entry Immunization form (EIF) and the Criminal Reference Check (CRC) are required for ALL program field placements. Business placements do not require an EIF unless attending placement in an agency where the student is in contact with vulnerable persons, or where the agency requests it. What is the field placement paperwork submission and course registration deadline? Please view the PAPERWORK SUBMISSION DEADLINES located on the PPL Field Placement Page. Am I eligible for field placement? You are eligible if you have the following: Successful completion of ALL required prerequisite courses Achieved a minimum Program GPA of 2.0 Completed and uploaded all of the required documentation for your program's field placement by the posted deadline. Note: You will be advised via email (sent to your DCMAIL.ca email address) and removed from the placement course if you have not met the above minimum criteria. How do I request activation in order to upload my placement paperwork? All students wishing to apply for a field placement, must first request to be activated in their program's Pre-Placement Activation Module in order to submit the required documentation by the posted deadline. Please view and follow these instructions – 7 STEPS TOWARD PLACEMENT (STEP 1 – PAPERWORK MODULE ACTIVATION) located on the PPL Field Placement Page. Where do I upload my paperwork? Once you have requested activation in DC Connect, within 24-48 hours, you will see the "Pre-Placement Paperwork" module associated with your program. This is where you will upload your documentation. What is the pending activation module on my DC Connect course listing? If you see the "Pending Activation" module in DC Connect, this module allows our IT department to register you in the "Pre-Placement Paperwork" module. The "Pre-Placement Paperwork" module associated with your program will contain all of the required documentation for your program's field placement. The Pending Activation module does not contain any assignment folders for uploading paperwork. I need to register for my field placement, but OSAP has not provided me with my funds yet. What do I do? Please send an email to firstname.lastname@example.org to advise the placement officer. Regardless of your OSAP status, you will be required to submit all of your complete documentation by the posted deadlines. Can I call or email for placement status updates? Every student is provided with feedback in DC Connect on each submission. If you receive a "P" (Pass) for all items, the next step is for the Placement Officer to confirm and secure your agency and then complete the necessary steps to clear you to begin. We encourage students to check DC Connect and your DCMAIL.ca account daily for updates and any important communication. Depending on your program and the type of agency you are to be placed with, securing and confirming a placement can take time. You will be contacted as soon as your agency has been confirmed and approved. How many hours must I complete for placement? The number of hours vary between programs. Please view the Field Placement course description for the required hours for your program's placement course(s) on the PPL website. I work full time. How can I do a placement also? Students may find it necessary to make personal adjustments to work and/or family schedules in order to complete the field placement. Options to be considered are: leaves of absence, use of vacation time, extended work hours to free up hours for placement, etc. We recognize that such arrangements require a great deal of time and effort on the students’ (and their families’) part and applaud their commitment to the achievement of their goals. How many hours can I do per week? Students are required to arrange a mutually suitable schedule with the host agency supervisor. When arranging their schedule, students must ensure they meet the required number of placement hours by the end date of the course. Please note: The ECE placements require a minimum number of hours to be completed in each shift – please view your specific program’s schedule requirements for further details. May I do my placement where I work? Doing your placement where you work is a conflict of interest and is not permitted. May I do my placement where a relative is employed? Students are not permitted to complete a placement experience where they have a relative or familial relationship with anyone with supervisory responsibility at the agency. This would be considered a conflict of interest. My agency host wants to pay me, is this allowed? Field placements are unpaid learning opportunities, and therefore, students are not permitted to accept payment for the field placement experience. May I begin my placement before the course begins? No. Students must ensure that they have been officially cleared prior to beginning their hours at the host agency. Clearance will not occur prior to the start date for the placement course. How will I know when I can begin my hours? Each student will receive official clearance via email to their DCMAIL.ca account only advising them of placement details and official clearance date. I have had a criminal reference check completed in the past, do I need a new one? The Criminal Reference Check must be valid within 6 months of your placement, and remain valid for the duration of your placement. (Note: Depending on where you are placed, your placement host may require a CRC newer than Durham College’s requirement) Please note that you must provide a CRC for every placement.
