Please read the information on this page if you are planning on registering for a field placement within your program.

When you are ready to apply for a placement, please follow the "7 Steps Toward Placement" below for detailed instructions on how to proceed.

Please note: 

  • Students may wish to defer their placement due to challenges presented during the COVID-19 pandemic.  If you wish to defer, please send an email to pplplacements@durhamcollege.ca to discuss your specific course options should you choose to defer your placement to an upcoming term. 
  • Students are responsible for meeting the registration and paperwork deadlines.  Failing to do so will result in forfeiting placement for the current term.

 

  • Students are required to confirm and follow their agency's COVID-19 Vaccination Mandate policies in order to attend placements in person.  In many cases, agencies will require that the students are double vaccinated against COVID-19 in order to attend onsite.
    Please ensure, if your program requires you to research and secure your own placement, that you find out the agency's policy and ensure you can meet their requirements.

Students applying for the following placements will be required to upload paperwork to both DC Connect and Verified by Synergy Gateway.

Students in these business programs will be required to upload paperwork to DC Connect ONLY.

  • Students may register for the field placements in Business programs online at any time before the deadline noted on the PPL Field Placement website.
  • Students are responsible for meeting the registration and paperwork deadlines.  Failing to do so will result in forfeiting placement for the current term.
  • Business students do not need to wait for paperwork to be approved before you register for your course.  It is important that students register by the posted deadline.

7 STEPS TOWARD PLACEMENT

Step 1 - Paperwork Module Activation

Winter 2022 activation requests will be accepted from October 19 - November 29, 2021 only.

All students wishing to apply for a PPL field placement, must request activation before the paperwork modules close, and submit any required documentation by the posted deadline. (see the table above for dates)

Please complete the following steps below in order to request activation for DC Connect and/or Verified by Synergy Gateway:

Email pplplacements@durhamcollege.ca and provide the following information:

  1. First & Last Name
  2. Student ID Number
  3. Program Name
  4. Placement level (if applicable) eg: Level 1, 2 or 3
  5. *NEW* - Students must include the placement format - Remote, In Person, Blended OR Online Class (for those programs offering this option eg: ECE) in this email.
  6. READ the notes below carefully:

NOTES:

  • Winter 2022 activation requests will be accepted from October 19 to November 29, 2021 ONLY.
  • ALL Paperwork is due on December 6, 2021 in order to qualify for placement.
  • Please submit your activation request only once.
  • This process is for PPL students only. If you are not a PPL student, you must contact your school office for field placement details and instructions.
  • Activation requests received after 2pm will be processed the next business day.
  • It may take up to 2 business days to gain access to DC Connect and Verified by Synergy Gateway in some cases.  Students are required to check DC Connect daily for the addition of the Application module (a separate email from the PPL department will not be sent).
  • Students will receive an email from Verified by Synergy Gateway with login instructions for the Synergy platform.
  • Students will be required to upload their program's field placement application to DC Connect, and remaining documentation to Verified by Synergy Gateway platform (further instructions below).
  • Students are required to monitor their dcmail.ca email account during the application process and throughout placement, as placement correspondence will only be sent to the student's dcmail.ca address.  Personal email addresses will not be used.

Please Also Note:

  • IN PERSON, REMOTE & BLENDED format placements will require health forms, Standard First Aid w/CPR-C and a Criminal Reference Check with Vulnerable Sector Screen (CRC w/VSS) in addition to other required documents, uploaded to Verified by Synergy Gateway.
  • Placement courses that are held online only during COVID-19 (no in-agency or remote hours) do not require paperwork, however, students are required to request activation as per the instructions above in order for a prerequisite audit to be completed.  This is to confirm the student's eligibility for the course.

 

PLACEMENT ELIGIBILITY

  • Students must complete ALL prerequisite courses prior to applying for field placement.
    Note: Some of the Business programs, All Health programs and ECE Field Placement #3 require that ALL courses in the program must be completed prior to registering for the final placement component.
  • Students must also have a minimum Grade Point Average (GPA) of 2.0 or higher in order to be eligible for placement.
  • Students must meet all paperwork and registration deadlines in order to be eligible for placement.

Students are required to upload placement paperwork to DC Connect AND Verified by Synergy Gateway as of October 19, 2021.
(Note: The Synergy platform login instructions will be available as of November 2, 2021)

(Note: Alternative/Online delivery courses do not require placement documentation.  These are courses that do not include in-agency hours.)

  • Once you have access to the DC Connect Placement Application Module, please read and follow all of the instructions outlined in the platform.
  • Upload the required documentation to each platform (DC Connect & Synergy) as instructed.
  • Students must regularly check DC Connect & Verified by Synergy Gateway to ensure documentation has been accepted and approved.
  • Failure to submit all complete, required documentation by the posted deadline will result in not being eligible for placement for the term.

DC CONNECT

You will be advised if any missing or additional information is required in the feedback section for that submission folder in DC Connect. Once you have uploaded your application, you must continue to check DC Connect until a grade for that submission has been assigned.

Failure to check feedback could result in missed paperwork deadlines if any corrections are required.

VERIFIED BY SYNERGY GATEWAY

Please follow the instructions and submission requirements for Verified by Synergy Gateway, available on their platform.

PLEASE NOTE: Any correspondence regarding paperwork/placement status, including clearance email, from PPL and/or Synergy Gateway will be sent to your DCMAIL email account.  Please ensure you are checking this account regularly.

For your field placement Application form, uploaded to DC Connect, the PPL Placement Officer will review and grade submissions during the time the module is available, as noted on the PPL Field Placement website.

Once ALL paperwork has been reviewed and approved, by both PPL and Verified by Synergy Gateway, each student will receive an email to his/her dcmail.ca email address with permission to register for their field placement course.

Students are responsible for meeting the registration and paperwork deadlines.  Failing to do so will result in forfeiting placement for the current term.

Students in the following programs will receive permission to register (via email to their dcmail.ca email address) only when all of their documentation has been reviewed and approved by both PPL and Synergy Gateway.

BUSINESS FIELD PLACEMENTS

  • Students may register for the field placements in Business programs online at any time before the deadline noted on the PPL Field Placement website.
  • Students are responsible for meeting the registration and paperwork deadlines.  Failing to do so will result in forfeiting placement for the current term.
  • Business students do not need to wait for paperwork to be approved before you register for your course.  It is important that students register by the posted deadline.

Once the student has been granted permission to register for their placement, the PPL Placement Officer will contact each student's placement agency host to secure the student's placement.

Your patience is appreciated during this time, as this process is lengthy and many students from all programs are being placed at the same time.

Once the student's host agency has been secured and/or approved, and all documentation has been received and approved the student will receive an official clearance email sent to their dcmail.ca email address.

Please note: 

  • The approval of documents uploaded does not give you permission to begin your placement hours.
  • You are not to begin any placement hours until you have been officially cleared by the PPL Placement Officer.
  • Any hours completed prior to clearance will not be counted and must be made up prior to the course end date.
  • Clearance will only be sent to the student's dcmail.ca email account - personal email addresses will not be used.

FIELD PLACEMENT INFORMATION

COVID-19 Restrictions

Please note: 

During the COVID-19 pandemic, access to services may not be possible due to service closures and extended waiting periods.

Students may wish to defer their placement due to challenges presented during the COVID-19 pandemic.  If you wish to defer, please send an email to pplplacements@durhamcollege.ca to discuss your specific course options should you choose to defer your placement to an upcoming term.

NOTE:
The Entry Immunization form (EIF) is required for ALL program field placements.

The Criminal Reference Check (CRC) is required for ALL program field placements.

NOTE:  Business placements do not require an EIF unless attending placement in an agency where the student is in contact with vulnerable persons, or where the agency requests it.

COVID-19 VACCINATION MANDATE

      • The newest version of the Entry Immunization Form (EIF) includes the COVID-19 vaccine requirement update. 
      • If you have an EIF that does not include this update, you must include your COVID-19 Vaccination Status Passport when you upload your EIF to Verified by Synergy Gateway.
      • Students are required to be double vaccinated in order to attend placement agencies in person. 
      • Students that are not vaccinated should consider remote or alternative option placements, where their program allows for it.
      • If you are not able to meet the vaccination mandate for your agency (or potential agency - ie: daycare centre), please contact pplplacements@durhamcollege.ca to discuss other potential placement alternative options, including the possibility of deferring your placement. Please do this BEFORE booking your Synergy ESPC appointment. Once your Synergy appointment is booked, Synergy's non-refundable fees are applicable, regardless if you attend placement or not.

ENTRY IMMUNIZATION FORM (eif)

The completion of the Entry Immunization form (EIF) ensures that you have taken the necessary precautions to avoid contracting or spreading disease or illness.  NOTE:  The 2021 EIF update will be posted here as soon as it is available for use.  Students can continue to use the current form, ensuring they add the COVID-19 Vaccination Status Passport when uploading the completed document to Verified by Synergy Gateway.

The EIF can take a significant amount of time to complete so it is strongly advised that you make an appointment with your family doctor or the Durham College Health Centre (on campus) to get these forms filled out as soon as possible.

You MUST have an approved EIF before you can attend placement, and it must remain valid for the duration of your placement.

Print the Entry Immunization Form and bring it with you to your doctor’s appointment.  The doctor will need to fill out the forms completely.

Please note: The Health Care Provider information page included in the form explains each immunization that is required. Please bring this with you to your doctor’s appointment.

If you have completed this form in the recent past, you may be able to use the same form providing all of the immunizations are still up to date.

If you do not have a family doctor, you can make an appointment with the Campus Health Centre.

Students must have a current Criminal Record Check with Vulnerable Sector Screening submitted by the due date in order to attend placement.

Students will be required to keep an original CRC to show their agency host.

The Criminal Reference Check must be valid within 6 months of your placement, and remain valid for the duration of your placement. (Note: Depending on where you are placed, your placement host may require a CRC newer than Durham College’s requirement. – example: Regional Daycare centres often require the CRC is no more than 1 month old).

Winter Placements – If your placement begins in January, the CRC cannot be issued prior to August of the previous year.

Spring Placements – If your placement begins in May, the CRC cannot be issued prior to December of the previous year.

Fall Placements – If your placement begins in September, the CRC cannot be issued prior to April of the same year. 

CRIMINAL REFERENCE CHECK REQUESTS

PLEASE NOTE:  Criminal Reference Checks are taking between 4-8 weeks to process in many areas, including Durham Region.
Students MUST order their CRC/VSS early, in order to avoid being declined placement eligibility.

    To request a Criminal Record Check and/or a Vulnerable Sector Screen a student may be required to provide a letter from the College on letterhead, with a staff signature stating the reason the check(s) are required.

VERIFIED BY SYNERGY GATEWAY INFORMATION

IMPORTANT INFORMATION

  •  TERM DUE DATES ARE FOUND ON THE PPL FIELD PLACEMENT WEBSITE -  durhamcollege.ca/ppl/fieldplacement
  • Read all placement requirements carefully. These are time sensitive items.
  • Always keep your original documents.
  • Make a copy of your approved Verified by Synergy Gateway ESPC Permit after each update and store in a safe and secure place. This is your personal information and as such is considered confidential.
  • There are costs associated with permit checking, immunizations, lab tests and certifications. Be sure to keep all of your receipts for income tax purposes.

PLACEMENT REQUIREMENTS

Placement requirements are specific health and non-health related documents necessary for placement(s) to ensure it is safe for students to work in their setting. Specific requirements are broken down by a student’s school and program or course. Health record checks are also necessary and are often a requirement as per the Occupational Health and Safety Act of Ontario. Health record checks can include immunization history, vaccinations, and blood work.  Ensuring you meet your placement requirements is mandatory for you to proceed in your chosen program.

VERIFIED BY SYNERGY GATEWAY

Verified by Synergy Gateway is a leading provider of healthcare and compliance solutions for colleges across Canada. Durham College has partnered with Verified by Synergy Gateway to provide our students with services to assist them in the successful completion of their program’s clinical placement requirements. 

Verified by Synergy Gateway is a proprietary platform that is used by students across Ontario for the purpose of digitally collecting placement requirements documentation for verification. 

This process of digitally uploading your documentation requirements and having them validated using Verified by Synergy Gateway is known as ‘Electronic Student Permit Checking’ or ‘ESPC​’.​  

With the introduction of ESPC, Verified by Synergy Gateway has eliminated the need for you to attend an in-person appointment and allows you to submit all of your placement requirements documentation from the comfort of your home.

ACCESS TO VERIFIED

Verified by Synergy Gateway is available through a secure username and password.
Login instructions are emailed to your school email account (DC Mail) after the PPL Placement Officer has conducted your prerequisite and GPA audit and sent your information to Synergy Gateway for processing.

This is expected to take up to 48 hours from the time your PPL activation request is received by Synergy Gateway.

BEFORE YOU BOOK YOUR MANDATORY ESPC APPOINTMENT

  • Confirm that you have received login credentials for Verified by Synergy Gateway. Please note – you will only receive log in information once you have followed the activation instructions on the PPL field placement website.  (Activation can take up to 48 hours from the time of your request to be processed).
  • Your Verified by Synergy Gateway login information will be emailed to your DC email address.
    If you cannot locate this information in your general inbox, then please check your junk/spam folder.
    If you still are unable to locate your login credentials, please open a Help Desk ticket by visiting:  ​synergyhelps.com
  • Review your program’s specific placement requirements along with due dates detailed on the Centre for Professional and Part-Time Learning’s Field Placement website.  You may also review requirements by logging into your Verified Account and selecting “Important Forms” and then selecting your program’s submission requirements chart.  In this section, you will also find user guides and any required forms in order to be successful in completing this process.
  • Make sure you have reviewed what your clinical placement requirements are and have planned out when and how you will be completing them. It is important to remember that some requirements may take an extended time to complete.
  • Once you have ensured that all requirements have been uploaded to your profile, you may book your ESPC Appointment on the Verified by Synergy Gateway This notifies Verified by Synergy Gateway that your profile is ready for verification. 
  • To avoid paying additional appointment fees, ensure all of your documentation has been uploaded PRIOR to booking your ESPC appointment.
  • You do NOT need to attend your ESPC appointment in person or online – Synergy will send you an email status 24 – 48 hours after your ESPC appointment date and time with a status update. Make sure you plan accordingly as it does take time to validate your documents.
  • Know when your due dates for verification are so that you can book your ESPC appointment accordingly.

SYNERGY GATEWAY FEES

  • Verified is a paid service.  Any time students are updating documents there are fees associated.
  • To avoid booking and paying for multiple appointments throughout the year we strongly suggest you gather all of your requirements at one time so that they might be valid for multiple placements if possible.
  • You can update expiring Criminal Reference Check (CRC) with Vulnerable Sector Search (VSS) documents free of charge after your initial appointment throughout that calendar year. The free update will be honored if you update these documents to the Verified platform by the date indicated by Synergy Gateway at the time of your documentation approval. 
  • Once you have uploaded your new Criminal Reference Check with Vulnerable Sector Screen, you need to place a helpdesk ticket to have it processed. You do not need to book and ESPC appointment unless you are updating other documents as well.

DOCUMENTATION SUBMISSION REQUIREMENTS

  • It is the responsibility of the student to ensure that their documents are valid throughout all of your placements.
  • You will be notified of any upcoming expiration of documents on your profile page for Verified by Synergy Gateway. You will also receive notifications via email to your DC Mail account.
  • Multiple appointments at full-service fees will be required to update any expiring documentation with the exception of the Criminal Reference Check/VSS (one free update per calendar year).
  • If you have more than one document expiring at any given time, we suggest you update them all together in one additional appointment to avoid further charges. Expired documents will negatively impact your clinical placement.

ADDITIONAL DOCUMENTATION FOR PPL STUDENTS

Field Placement Application

Each PPL student will also be required to submit a Program-Specific Field Placement Application to the PPL Field Placement Officer via DC Connect.  The application will be available once the student has completed the activation process on the PPL website.

Online Training Modules

The following Online Training Modules must be completed within DC Connect. You will have access to them when you have completed the activation process found on the PPL website. (Certificates of completion must be printed and uploaded to your profile on Verified by Synergy Gateway as part of your clearance requirements).

  • Workplace Hazardous Materials Information (WHMIS) Module Completion Certificate
  • Accessibility for Ontarians with Disabilities (AODA) Module Completion Certificate
  • Workplace Violence and Harassment Prevention Module Completion Certificate
  • Worker Health and Safety Awareness in 4 Steps Module Completion Certificate
  • Diversity Module Completion Certificate

If you have completed these documents previously, you are not required to re-take the training modules, you may simply upload the certificates to the Verified by Synergy Gateway platform.

  • Allows students to upload, access and store multiple documents required for field placements using a smartphone, tablet or computer  24 hours a day/ 7 days a week
  • Student Helpdesk and Video Guides assist students in completing the Electronic Student Permit Checking process.
  • Access to real-time data allows DC Field Placement Officers to monitor students status for field placement
  • Meets PHIPA/FIPPA standards, data retention is in accordance with Durham College Information Management Policy & Procedure.

GENERAL FIELD PLACEMENT FAQs - ALL PROGRAMS

  • These General Field Placement Frequently Asked Questions are relevant to ALL placements, regardless of the program you are taking.
  • Once you have reviewed the General FAQs, please then view the Program Specific FAQs below, which will have more detailed information about your program's placement course requirements/restrictions.

You are eligible if you have the following:

  1. Successful completion of ALL required prerequisite courses
  2. Achieved a minimum Program GPA of 2.0
  3. Completed and uploaded all of the required documentation for your program's field placement by the posted deadline.

Note: You will be advised via email (sent to your DCMAIL.ca email address) and removed from the placement course if you have not met the above minimum criteria.

All students wishing to apply for a field placement, must first request activation to both DC Connect & Synergy Gateway in order to submit the required documentation by the posted deadline.

Please view and follow these instructions – 7 STEPS TOWARD PLACEMENT (STEP 1 – PAPERWORK MODULE ACTIVATION) located on the PPL Field Placement Page.

Once you have requested activation in DC Connect, within 24-48 hours, you will see the "Placement Application" module associated with your program.  This is where you will upload your Application and access the required Health & Safety training certificates.

Students are also required to upload documentation to Verified by Synergy Gateway.  When the student sends the required activation email, as noted above, their request will also be sent to Synergy Gateway for addition to their platform.  Synergy staff will provide login instructions to each student via email to their school account only (dcmail).  Please ensure you are checking this email account regularly.  Access to Synergy will take approximately 2 business days before you receive the email instructions for login.

Please send an email to pplplacements@durhamcollege.ca to advise the placement officer.

Regardless of your OSAP status, you will be required to submit all of your complete documentation by the posted deadlines.

Every student is provided with feedback in DC Connect on each submission.  If you receive a "P" (Pass) for all items, the next step is for the Placement Officer to confirm and secure your agency and then complete the necessary steps to clear you to begin.

We encourage students to check DC Connect and your DCMAIL.ca account daily for updates and any important communication.

Depending on your program and the type of agency you are to be placed with, securing and confirming a placement can take time.

You will be contacted as soon as your agency has been confirmed and approved.

The number of hours vary between programs.

Please view the Field Placement course description for the required hours for your program's placement course(s) on the PPL website.

Students may find it necessary to make personal adjustments to work and/or family schedules in order to complete the field placement.

Options to be considered are: leaves of absence, use of vacation time, extended work hours to free up hours for placement, etc.

We recognize that such arrangements require a great deal of time and effort on the students’ (and their families’) part and applaud their commitment to the achievement of their goals.

Students are required to arrange a mutually suitable schedule with the host agency supervisor. When arranging their schedule, students must ensure they meet the required number of placement hours by the end date of the course.

Please note:  The ECE placements require a minimum number of hours to be completed in each shift – please view your specific program’s schedule requirements for further details.

Doing your placement where you work is a conflict of interest and is not permitted.

Students are not permitted to complete a placement experience where they have a relative or familial relationship with anyone with supervisory responsibility at the agency. This would be considered a conflict of interest.

Field placements are unpaid learning opportunities, and therefore, students are not permitted to accept payment for the field placement experience.

No. Students must ensure that they have been officially cleared prior to beginning their hours at the host agency.  Clearance will not occur prior to the start date for the placement course.

Each student will receive official clearance via email to their DCMAIL.ca account only advising them of placement details and official clearance date.

Students cannot start placement before official clearance is received.

The Criminal Reference Check must be valid within 6 months of your placement, and remain valid for the duration of your placement. (Note: Depending on where you are placed, your placement host may require a CRC newer than Durham College’s requirement)

Please note that you must provide a CRC for every placement.

PLEASE NOTE:  Criminal Reference Checks are taking between 4-8 weeks to process in many areas, including Durham Region.
Students MUST order their CRC/VSS early, in order to avoid being declined placement eligibility.

Winter Placements:
If your placement begins in January, the CRC cannot be issued prior to August of the previous year.

Spring/Summer Placements:
If your placement begins in May, the CRC cannot be issued prior to December of the previous year.

Fall Placements:
If your placement begins in September, the CRC cannot be issued prior to April of the same year.
