This recommendation is consistent with Ontario evidence that course design including assessment design, workload distribution, delivery mode and scaffolding, are significant retention levers (HEQCO, 2013; HEQCO Sheridan hybrid study, 2013). Reflection questions: Varied Assessments: Were different types of evaluations provided for learners to demonstrate their learning? Was choice offered (topic or submission format) for evaluations? Expectations: Was the assessment description and instructions clear? Were rubrics provided? Were submission requirements clear and accessible? Language: Was the structure and wording of the quiz/exam questions clear, aligned with the intended learning outcomes, and designed to minimize unnecessary complexity? Alignment: Was the assessment aligned to content taught? Does the assessment reflect the level of cognitive thinking appropriate for the semester it is within? Practice: Was there the opportunity to practice the skills and knowledge required in the assessment during low-stakes learning activities? Scaffold: Was knowledge scaffolded and actionable with meaningful feedback throughout the semester so students can learn from productive mistakes in the course? Classroom Environment: Which ways were safer spaces created for learners to build confidence, and learn through contributions and mistakes? Workload: Are challenges surfacing at a time when learners may be experiencing cumulative workload across multiple courses? Weight: Do the percentage weight of the evaluations match the time asked of students to commit to the evaluation? Active Learning: What strategies for active learning have been used and where? Has active learning engagement been scaffolded to build confidence without overuse? Authenticity: Was the assessment authentic to industry? Step Two / Program Team Review (Recommended) Program Team Review (Recommended) Faculty who observe high signal rates on an assessment may find it helpful to connect with their program coordinator and program team, as the assessment flag may reflect a broader concern across sections or within the program. Some ways in which the program team can collaboratively assess the signaled assessment can include: Cumulative workload: Is the assessment landing at a point in the semester where students are carrying a heavy load across multiple courses? The challenge may not be the assignment in isolation, but the aggregate demand on students at that point in the term because of cumulative workloads. Historical Patterns: Has this assessment been flagged previously? Are the patterns consistent across sections and semesters? Assessment alignment: Does the assessment still align with course learning outcomes, program learning outcomes and industry? Given that the Course Progress Hub currently operates at the individual course level and does not provide coordinators with an aggregated program-wide view, it is recommended that assignment patterns (without student information) from the hub data be shared openly and regularly as a standing component of program team meetings. This ensures that cross-course patterns become visible through routine practice. Step Three / Action Action This may include changing the assessment, redistributing workload across the semester, introducing scaffolding or formative checkpoints, or adjusting prerequisites. It is recommended that solutions be developed collaboratively by the program team, drawing on collective program knowledge, student feedback, and curriculum-wide practice. Note Action may include a program curricular change, such as adjusting pre-requisites or course sequencing. Step Four / Connect with the CTL Connect with the CTL If curricular design is warranted, program teams and faculty are encouraged to connect with the Centre for Teaching & Learning (CTL) for consultation on assessment design, pedagogy, and alignment with evidence-based practice. If larger evaluation changes need to be made mid-semester that impact the course outlines you may ask for an outline addendum process under 5.2 in ACAD-108-Course Outlines. Escalate During APR/PAC/CPR Persistent patterns should become a systematic review item. Resources Considering Course Curriculum Changes One consideration is whether the assessment or content may be too difficult based on students’ current knowledge and skill development. Our goal is to ensure students remain within the Zone of Proximal Development, or the “learning zone,” where challenge is balanced with appropriate support. If the curriculum is not well balanced and learners experience cognitive overload and enter the “panic zone,” they may experience a type of survival response in which unproductive stress negatively affects learning and performance. This unproductive stress can impact both students and faculty. Zone of Proximal Development (or the “Learning Zone”) Zone of Proximal Development (or the “Learning Zone”) When learners enter the “panic zone,” their ability to engage meaningfully with course content can become reduced, often requiring additional guidance and support to help them regain confidence and momentum. Designing curriculum and assessments that balance challenge with appropriate support can help create more sustainable learning environments for both students and faculty. How Do We Get Back to The Learning Zone How Do We Get Back to The Learning Zone The learning zone is created by these key features: Working to ensure structured progression and scaffolding of course materials and assessments from supported participation toward student autonomy, where students encounter concepts repeatedly with increasing independence. Using the Jumpstart model and embedding breaks into classes. Information is intentionally chunked using evidence-based science of learning principles, allowing adequate time for active learning, practice, and feedback before high‑stakes, summative assessments. Staggering due dates across courses and programs helps prevent overwhelming periods where multiple assessments are due at the same time. Spacing assessments intentionally support both students and faculty. When deadlines are distributed more evenly, learners have more time to engage meaningfully with the material, and faculty have the capacity to provide thoughtful, actionable feedback without unnecessary pressure. Time is built between topics to allow learners to catch up where needed, revisit common challenges, and consolidate understanding before moving forward. Active recall strategies are embedded throughout the curriculum to strengthen knowledge retention and support long-term learning. Assessment Flexibility and Student Success It’s important to remember that students may also be balancing responsibilities outside the classroom, including childcare, caregiving, employment, financial pressures, or responsibilities at home, that can affect how they engage with learning. Faculty are empowered to respond with flexibility, compassion, and support when appropriate, while ensuring expectations remain transparent and equitable for all learners. Learning and information retention is strengthened through revision, reflection, and continued practice. Even though there may be an assessment pattern, it may still be useful to proceed with individual student outreach as well and offer support. Techniques to Support Assessment Success Clear Instructions and Expectations Clear Instructions and Expectations Detailed, clear assessment instructions accompanied by a thoughtfully composed rubric communicate precise expectations and requirements for students to successfully complete an assessment. Rubrics are an essential tool for evaluation and often result in higher grades because students know exactly what is expected of them. Alternative Formats and Student Choice Alternative Formats and Student Choice Submission of an assessment in an alternative format can be a good option for students to demonstrate their learning if they struggled to engage with the original assessment format. It allows students to apply feedback, improve performance, and build confidence. In many cases, students learn more from revisiting and improving their work than from succeeding on the first attempt without reflection and revision! Faculty may consider providing assessment instructions with different deliverable options. This allows students to choose their method of expression of learning in way that is comfortable, relevant, and meaningful to them. Faculty may be surprised at how student engagement and success increases when students are provided with some agency over their learning. Meaningful Feedback that Encourages Growth Meaningful Feedback that Encourages Growth Strength-based feedback acknowledges what students are doing well while also providing actionable opportunities for improvement. Thoughtful feedback helps students recognize their progress while continuing to develop their skills. The Sandwich Model Peer Feedback Faculty may wish to consider peer feedback (e.g. Kritik), self-assessment activities, and scaffolded assignments can support meaningful feedback while reducing grading. It is important to set expectations and parameters for peer feedback to ensure that comments provided are detailed, constructive, and meaningful. Resubmissions and Missed Tests Resubmissions and Missed Tests Providing opportunities for revision and resubmission or missed assessment accommodations reinforces that mistakes are part of learning. These approaches allow students to apply feedback, demonstrate growth, and remain engaged in the learning process. Faculty may even consider providing students the opportunity to resubmit or engage with an assessment in a different format. Faculty are empowered to provide reasonable flexibility when unexpected circumstances impact a student’s ability to complete coursework or assessments. A formal accommodation plan through the Access and Support Centre (ASC) is not required for one-time flexibility related to uncontrollable circumstances such as illness, emergencies, or caregiving responsibilities. Clear expectations ensure flexibility is equitable and supports student success. Important When students receive extensions or extra time due to their access plan or flexibility due to other circumstances, please adjust their deadlines/timing through the Special Access feature on DC Connect. Collaborative Curriculum and Assessment Design and Support Rehumanizing is the intentional process of restoring dignity, agency, and humanity to students and educators within learning systems that have become overly bureaucratic, standardized, and depersonalized. This asks faculty to transition from “I teach” to “We learn.” It acts as a counter-movement to "dehumanizing" practices such as excessive high-stakes testing, deficit-based pedagogies, and punitive discipline, that treat individuals as data points or transactions rather than whole people. Deficit-based pedagogies (or the "deficit model") in education represent a framework that focuses on the perceived weaknesses, shortcomings, and limitations of students rather than their strengths and capabilities. Rehumanizing education recognizes and centers strength‑based approaches that honour students as whole people, with physical, mental, emotional, and spiritual dimensions (Bell, 2014). Students bring lived experiences and responsibilities outside of schooling (e.g. childcare, parental care, multiple jobs to sustain their education, responsibilities at home, etc.) that shape how they engage with learning. By acknowledging these realities, we can intentionally design teaching and learning practices that allow students to show up as their full, human selves and be supported with dignity and care. Assessment techniques to Support the learning process Resubmissions and Missed Tests Life circumstances can sometimes affect a learner’s ability to engage fully with course learning and assessments. Offering alternative assessment opportunities, missed test opportunities, or resubmissions can be a meaningful way to reduce unnecessary barriers, especially when these options are applied equitably and with clear expectations. It is also important to note that faculty do not require a formal accommodation plan through the Academic Success Centre (ASC) to offer one-time flexibility when a student experiences uncontrollable external factors that impact their ability to participate in or complete an assessment (e.g.. a student misses a test due to an unexpected illness or emergency). Thoughtful, case‑by‑case flexibility can support student learning. Hearing criticism can be difficult, especially when it is attached to passing or failing a course, and it can make students more nervous when performing under pressure. Ensuring criticism is productive and encouraging student growth rather than being deficient-based can support learners to keep trying, and learning, to reach their goals. Applying strength-based approaches to feedback and grading ensures we are uplifting student’s gifts/strengths, which is just as important as giving feedback for growth. This ensures they know they belong and can see themselves succeeding, while still working on areas of improvement. There are several types of feedback structures that support strength-based approaches. The R.I.S.E. Model: Reflect, Inquire, Suggest, Elevate Reflect: Share what stood out to you and why. Inquire: ask questions to gain clarity. Suggest: offer suggestions for improvement. Elevate: Share encouragement for future situations. The Sandwich Model Worried about grading time when considering meaningful feedback? Ensure you have well-communicated rubrics that tell students exactly what the expectations are for success. Further ways to lesson grading overload is to try specifications-based rubrics, peer grading (Kritik is available to all DC Faculty), or student self-grading to reduce grading overload.
